The Position

We are looking for a motivated, organised, and proactive individual to support the General Manager to locate, negotiate, price and purchase goods within a busy Operations Department as well as to oversee Goods-In and stock management. Carrying out general administrative duties, updating records, and communicating across the business.

This is a diverse role and covers all aspects of team supervision and the delivery of excellent customer and supplier service.


The Responsibilities

Key Responsibilities

·         Proactively making recommendations to the General Manager to help identify opportunities to update or improve procedures and standards.

·         To input, help and assist the General manager on any strategic matters to help shape and drive the future direction of the business.

·         Maintaining accurate records and documenting all activities and discussions.

·         To constantly drive customer service to ensure that we offer the best service in the Island and maintain our competitive edge.

·         Dealing with customers and following up when required.

·         Handling and resolving complaints and escalating to management when required.

·         To have a strong focus on people, working with other departments with a business partnered approach.  To build and maintain the right culture to meet the requirements of a modern trading business.

·         To oversee the Purchasing function for stocked and special-order products ensuring the right stock is here, on time, and in the right quantity for orders to be fulfilled. Maintain the businesses core products and track the stock accuracy.

·         To work with the General Manager and the Sales Team to ensure that the pricing and purchasing runs smoothly and the system is kept up to date with the correct information. 

·         To schedule and oversee cyclical stock takes to ensure the accuracy of the stock and update the system accordingly working closely with the Operations Supervisor to ensure the counts are completed to schedule.

·         Update and maintain the buying prices accurately and timely on the system and to liaise with and manage communication with the buying group and the NP Procurement Team.

·         Working pro-actively to seek out new product and market opportunities and presenting them to the General Manager for consideration.

·         Working pro-actively to procure products at the best possible value for Quantum and working closely with the Procurement Group headed by the Commercial Director.

·         To oversee the Goods-In function ensuring timely and accurate receipt of products arriving, covering for holidays and absence when required.

·         Overseeing the tracking of goods in transit from our supply chains until they are received within the business as needed for reliable and accurate delivery times for our customers.

·         To work collaboratively and closely with the Operations Supervisor and the Sales Team to ensure that we always deliver an efficient and effective customer service to our customers.

·         Research required information using available resources.

·         Adhere to Group Policy and Procedures.

·         Ensuring procedures within the Group Health and Safety Policy are always adhered to.

·         Adhere to and deliver the Group Values in all aspects of the role.

·         Complete any other reasonable duties as directed by the General Manager to aid business and department success.

Experience / Qualifications / Education

Essential Skills and Knowledge

·         Good market and product knowledge and maintaining strong awareness on new and innovative products.

·         The ability to work pro-actively with colleagues, customers and suppliers on new market opportunities.

·         Strong negotiation and persuasion skills.

·         An understanding of procurement.

·         Good I.T. skills including Microsoft Outlook, Word and Excel.

·         Excellent written, verbal and listening skills with a strong attention to detail.

·         Strong analytical and problem-solving skills.

·         Organised, applying attention to detail with a focus on accuracy.

·         Works in a professional and courteous manner.

·         Ability to prioritise work to meet deadlines.

·         Ability to work individually and as part of a team.
