The Position

Purpose:

To ensure the provision of high quality financial support, accounting and reporting services for the Jersey and Guernsey offices.   Is motivated and committed to effective client service and the quality of work that meets the company’s standards and supports organisational success.

The Responsibilities

  • Checking and posting of supplier invoices into the internal accounting software and reconciliation of supplier statements to supplier balances recorded on the internal accounting software.
  • Payment of supplier invoices on a monthly basis and any other ad hoc payments required, obtaining the correct level of authorisation and in accordance with agreed supplier terms and conditions.
  • To assist with the Credit Control function, ensuring the debtor position is monitored on a twice-monthly basis and appropriate chasers are undertaken, which includes sending out regular statements and copy invoices. 
  • Dealing with clients queries on fee notes and issues regarding payment of fee notes in accordance with accepted company guidelines. 
  • Assists with payments received into the fee account and other payments such as cheques, credit card, etc - are reflected on a timely basis in relevant databases, including DRIVE and spreadsheet format.
  • Assist other members of the Finance team with ad hoc administration tasks or projects.
  • Pro-actively looks for ways to improve administration tasks and internal client service, making recommendations to the Finance Director as necessary.
  • Acts as an ambassador of the firm, building a network of contacts and promoting the firm at every opportunity to facilitate new business opportunities.

Experience / Qualifications / Education

  • Has excellent interpersonal and communication skills and confidence to deal with people at all levels.
  • Has excellent attention to detail and accuracy and has the ability to resolve accounting queries and issues confidently and successfully.
  • Has a good understanding of the business and the different functions within the company.
  • Is a team player, but also able to work independently on occasion.  
  • Is flexible and has a proactive approach to work and willing to undertake additional duties as required.
  • Has good time management and organisational skills coupled with excellent keyboard skills and knowledge of various systems, including but not limited to Microsoft office suite.
  • Displays initiative and willingness to work autonomously with the confidence to deal with issues, referring to the Finance Director as necessary.
  • Has 5 years’ experience within a finance administration function.
